Product Requisition — Transactions

Overview

Product Requisition is the starting point of the procurement process. Any collaborator can request materials, products, or services for their department or project. Submitted requisitions feed into the Requisition Administration queue where the purchasing team processes and converts them into purchase orders.

Product Requisition

Overview

The Product Requisition screen shows all requisitions created by or on behalf of the logged-in user. It is a personal view — users only see their own records.

What you will see

  • Code — Each requisition is assigned a sequential code formatted as PR.XXXX (e.g., PR.0042).
  • PR TypeRegular or Specialized. Specialized requisitions require RFQ and Quotation files.
  • Solicited by — The collaborator the requisition is being made for (may differ from the user who created it).
  • Dept/Proj — The department name or project code (with full name in tooltip) that the requisition is charged to.
  • Items — Shows a counter in the format Received / Total : Approved. Tracks delivery progress.
  • Time left — For PEND requisitions only: shows remaining working hours until the priority deadline. Turns red at ≤ 6 hours; shows EXT if the deadline has already passed.
  • Status — PEND, REJC, INPG, CANC, or FINA. See Workflow for details.

Custom columns — The following columns can be toggled via the Custom columns selector: Code, Type, Requested by, Dept/Proj, Description, Created at, Priority, Time left, Items.

What you can do here

  • View — Opens a read-only modal with all requisition details: header info, items table (unit, category, qty, SKU, description, linked PO, status, tracking relevance), logs panel, and notes panel with an Add Note button.
  • Continue — Available only for INPG (draft) records. Reopens the creation form pre-filled with the saved data so the user can finish and send it.
  • Cancel — Available only for INPG (draft) records. Cancels the draft with a confirmation step, setting status to CANC.
  • Reuse — Opens a creation form pre-filled with items and settings from an existing requisition (any status). Optionally copies the attached files from the original. Useful for repeat orders.
  • Transfer expenses — Moves the budget attribution of a requisition (project/dept and budget item) to a different project or department. Also updates any linked purchase orders to reflect the new budget source.

New Requisition

The + New requisition button opens the creation form, which has four sections:

General

  • Short description (required, max 60 characters)
  • Solicited by (required, defaults to logged-in user)
  • Requisition type: Regular or Specialized
  • Delivery address (optional)
  • If Specialized: an Extension checkbox. When checked, a Related PR selector appears to link this to an existing specialized requisition it extends.
  • Additional details (optional free text, max 1000 characters)

Files

  • For Regular requisitions: an Other file slot for any supporting documents.
  • For Specialized requisitions: mandatory RFQ and Quote upload slots, plus optional Other. Sending is blocked if neither is uploaded (unless reusing files from a prior requisition or creating an extension).
  • For Extension specialized requisitions: only the Other slot is shown.

Budget

  • Project or Department selector (required)
  • Depending on selection: project + budget item, or department + budget category
  • Purchasing company (required; or "According to project" to inherit from the project record)
  • Priority: Low, Mid, or High
    • If High: an additional Reason selector and Description field appear

Items

An editable table where each row has: Unit, Category, Quantity, SKU (optional), Description, Tracking relevance (Don't track / Track).

  • + New item adds a blank row manually.
  • Read file with AI — Opens an upload panel to import items from a CSV or XML (CFDI) file. Parses the file and populates the items table automatically. The CSV template is downloadable from this panel.

Save vs. Send

  • Save — Saves the requisition as a draft (INPG). Can be continued later.
  • Send — Submits the requisition to the purchasing queue (PEND). Triggers notifications for high-priority and specialized types.
