Suppliers — Transactions

Overview

The Suppliers module is the procurement master catalog. It stores all registered supplier records and manages the credit lines granted to each supplier per internal company. Other procurement transactions (requisitions, purchase orders) draw from this catalog.

Suppliers

Overview

The Suppliers tab is the central registry of all vendors the organization works with. Each supplier record captures identity, classification, contact links, bank accounts, compliance documents, and performance ratings.

What you will see

  • Designated column — The first column shows a star icon for each supplier. A filled star (★) marks the supplier as designated; an outline star (☆) means it is not. Any user with access can toggle this.
  • RFC/EIN column — Displays the supplier's tax ID. If the supplier's RFC appears on SAT's blacklist, the text [Blacklist] is shown in red next to the value.
  • Rate column — Shows the supplier's average performance rating as filled stars (1–5 scale). Ratings are calculated from four dimensions: Quality, Price, Service, and Answer time.
  • Status column — Standard ACTV / INAC badge. The filter bar also shows PEND, which may appear on legacy records from a prior approval flow; newly created suppliers are always ACTV.

Custom columns — The following columns are shown by default but can be toggled via the Custom columns selector: Name, Short name, Country, RFC/EIN, Category, Classification, Rate.

What you can do here

  • Toggle designated — Click the star icon on any supplier row to mark or unmark it as designated. No special permission is required beyond view.
  • View — Opens a modal with the supplier's full profile: four performance rating cards (Quality, Price, Service, Answer time, each color-coded green/orange/red), basic info, a contact table showing Directory entries linked to this supplier, and any registered bank accounts.
  • View POs — Opens a modal listing all purchase orders linked to this supplier, filterable by year.
  • Documents — Opens the compliance documents modal. The document types shown depend on the supplier's classification. Each required document type displays as an accordion row — green if a file has been uploaded, red if missing. Uploading a new file archives the previous version; the full upload history is accessible per document type.
  • Edit — Opens the edit modal with all fields plus address information (Street, Zip code, Country, State, City) and bank account management. Existing bank accounts are listed individually; "+ Add Banking account" appends a new slot. Each bank account has: Bank name, Account number, CLABE, Swift, Account's country. Requires edit permission.
  • Deactivate / Activate — Toggles the supplier between ACTV and INAC. Requires edit permission.

New Supplier

The + New Supplier button opens a creation form with required fields: Name, Short name, RFC/EIN, Country, Type, Category (multi-select), and Classification. Bank accounts and documents cannot be added at creation — they are managed via Edit after the supplier is saved.

Creation is blocked if:

  • The RFC/EIN is already registered to another supplier.
  • The Name or Short name is already in use.
  • The RFC/EIN matches a record on SAT's blacklist (applies to Mexican suppliers only).

Credits

Overview

The Credits tab manages credit lines that the organization holds with suppliers. Each credit line is scoped to a specific internal company, so the same supplier can have separate credit agreements per company.

What you will see

  • Credit limit / Available credit — The original approved limit and the remaining unused credit.
  • Currency — The currency of the credit line.
  • Internal company — The internal company this credit applies to.
  • Payment day — Displays either a fixed monthly calendar date or a net-days term (e.g., "30 Days").

What you can do here

  • View POs — Opens a modal listing the POs charged against this credit line, scoped to the credit's internal company.
  • View Payments — Opens a modal showing all payment entries registered against this credit.
  • Pay — Opens a payment form to register a payment against the credit line. Only available on ACTV credits. Requires edit permission.
  • Edit — Edit the credit's supplier, internal company, limit, currency, and payment terms. Only available on ACTV credits. Requires edit permission.
  • Deactivate / Activate — Toggles the credit between ACTV and INAC. Requires edit permission.

New Credit

The + New Credit button opens a form with: Supplier, Internal company, Credit limit, Currency, and payment terms (either a fixed monthly date or net days). Only one active credit per supplier per internal company is allowed — the system will block a duplicate.
