Requisition Administration — Transactions
Overview
The Requisition Administration screen (/requisition-administration) is the purchasing team's processing hub for all submitted requisitions. From here, purchasers review incoming requests, open the PO creation form for approved items, reject requisitions back to the requester, and finalize requisitions that are complete. The screen also surfaces automatic services and contract payment schedules linked to properties.
Tabs
| Tab | Description |
|---|---|
| Requisitions | Regular product requisitions submitted by collaborators |
| Specialized Requisitions | Specialized requisitions requiring RFQ/quotation files |
| Pending Requisition Items | Cross-requisition view of individual items not yet assigned to a PO |
| Automatic Services | Recurring property service payments due (from Properties module) |
| Automatic Contracts | Property rental contracts with upcoming payment dates (from Properties module) |
Requisitions tab / Specialized Requisitions tab
Both tabs show the same structure. All PEND requisitions appear here — this is the purchasing team's working queue.
The Items counter (Received / Total : Approved) and Time left columns work identically to the Product Requisition screen.
Row actions
| Action | Condition | Description |
|---|---|---|
| View | Always | Read-only modal with full requisition details (see below) |
| New PO | create po; status PEND |
Opens /new-purchase-order/{id} in a new tab to create a PO from this requisition |
| Finalize | create po; status PEND |
Marks the requisition as FINA, cancelling any items still pending |
| Reject | create po; no PO yet created (regular) / always (specialized) |
Returns the requisition to INPG with a reject reason visible to the requester |
Note
Reject is blocked on regular requisitions that already have a valid PO created (valid_po is set). Once a PO exists, the purchasing team cannot reject the requisition — they must work through the PO instead.
View modal
The View modal shows the full requisition detail for the purchasing team:
- General — short description, requested by, type (regular / specialized), delivery address, internal company, additional details, and the rejection/return reason (shown in red when the requisition is PEND again after a prior rejection)
- Files — attached RFQ, quotation, and other documents available for download
- Budget — department/project, budget item, priority, and reason for high priority if applicable
- Items — table listing each item with unit, category, quantity, SKU, description, assigned PO (e.g.
PO.0001), item status, and tracking relevance - Logs — full audit trail of status changes and actions
- Notes — purchaser-added notes (with optional file attachment); the Add Note button is visible in this modal
Pending Requisition Items tab
Flat view of individual items across all requisitions that have not yet been assigned to a PO. Useful for spotting unprocessed items when requisitions are partially fulfilled.
Automatic Services tab
Displays recurring service payments for properties (e.g. cleaning, utilities) with their next payment date, frequency, assigned project/department, and property name. Uses Properties module permissions (properties.edit) for Edit and Deactivate actions.
This tab is visible here for purchasing convenience — it is owned by the Properties module.
Automatic Contracts tab
Displays property rental contracts with their start date, expiration date, payment frequency, and next payment date. Uses the same Properties permissions as Automatic Services.
