Refunds — Permissions

Overview

This page documents the permissions used in the Refunds module. Permissions are configured separately for each screen. The Refunds screen (/refunds) controls what collaborators can do with their own requests. The Refunds Administration screen (/refunds-administration) controls what managers and finance staff can see and do.

Permissions by transaction

Module name in SARA: "Refunds"

Permission Grants access to
view Access /refunds. View the full list of own refunds (all statuses). Open the View modal (read-only). Submit new refund requests via + New refund. Open the Review form on REJC records to correct and resubmit.

Module name in SARA: "Refunds Administration"

Permission Grants access to Requires
view Access /refunds-administration. See refunds for departments and projects the user manages. Open the View modal (read-only, includes audit log).
edit Review action on PEND records (Approve and Reject buttons) for managed refunds. Review action on APPR records (Pay button) when combined with payment. view
payment Expands the visible list to all refunds organization-wide (not just managed ones). Enables the Review/Pay flow on APPR records when combined with edit. view, edit
Project approvation Extends Approve/Reject rights to PEND refunds assigned to any project, bypassing the direct-manager restriction. Without this, a user with edit can only approve/reject refunds for departments or projects they directly manage. view, edit

Troubleshooting access

  • If /refunds is missing from the menu, the user does not have the view permission for the "Refunds" module.
  • If /refunds-administration is missing, the user does not have the view permission for "Refunds Administration".
  • If the Review row action is not visible on a PEND record, verify that the user has edit permission and is the manager of the refund's assigned department or project — or has the Project approvation permission.
  • If a user with edit cannot see APPR records to pay, verify that they also have the payment permission.
  • To request access, contact your supervisor or system administrator.
